Refund and Cancellation Policy

Introduction
This Refund and Cancellation Policy ("Policy") governs refunds, cancellations, and related terms for services and software applications provided by Aetheria.Systems ("Aetheria"). By purchasing or subscribing to any Aetheria service or product, you acknowledge and agree to the terms set forth herein.
1. Professional Services
a. Consultation and Project-Based Services
Deposits and retainers paid for consulting services are non-refundable once work has commenced. Clients may cancel scheduled consultation sessions with at least 48 hours advance notice without penalty. Cancellations made with less than 48 hours notice may result in forfeiture of the scheduled session fee.
b. Project Termination
Either party may terminate an ongoing project with written notice. Upon termination, client shall pay for all work completed through the termination date, including any third-party costs incurred. No refunds will be issued for work already performed.
c. Rescheduling
Consultation sessions may be rescheduled with at least 24 hours notice without penalty. Multiple rescheduling requests may be subject to administrative fees at Aetheria's discretion.
2. Software as a Service (SaaS) Subscriptions
a. Subscription Terms
SaaS applications are offered on a subscription basis with monthly or annual billing cycles. Subscriptions automatically renew unless cancelled prior to the renewal date. No refunds are provided for partial subscription periods.
b. Cancellation of Subscriptions
Subscribers may cancel at any time through their account dashboard or by contacting [email protected]. Cancellations take effect at the end of the current billing period. Access to the service continues through the end of the paid period. No pro-rata refunds are issued for early cancellation.
c. Free Trial Periods
Where offered, free trial periods allow evaluation of the service before billing begins. Trials must be cancelled before the trial period expires to avoid charges. Once a trial converts to a paid subscription, standard cancellation terms apply.
d. Service Availability
While Aetheria strives to maintain 99.9% uptime, service interruptions may occur. Extended outages exceeding 24 consecutive hours may qualify for pro-rata service credits at Aetheria's discretion. Service credits do not constitute refunds and may only be applied toward future subscription fees.
e. Data Export and Retention
Upon subscription cancellation, clients have 30 days to export their data. After 30 days, data may be permanently deleted. Aetheria is not responsible for data loss resulting from failure to export within this timeframe.
3. Payment Disputes and Chargebacks
Clients disputing charges must contact [email protected] before initiating a chargeback. Unauthorized chargebacks may result in immediate service suspension and collection action for the disputed amount plus associated fees. Accounts with unresolved chargebacks will not be reinstated until the matter is resolved.
4. Refund Request Process
Refund requests must be submitted in writing to [email protected] and include: account information, service or product name, purchase date, and reason for refund request. Requests are reviewed on a case-by-case basis and approved solely at Aetheria's discretion. Approved refunds are processed within 10-15 business days to the original payment method.
5. Exceptions and Special Circumstances
Aetheria may, at its sole discretion, grant exceptions to this Policy in cases of technical failure, billing errors, or other extraordinary circumstances. Such exceptions do not establish precedent or waive Aetheria's right to enforce this Policy in future transactions.
6. Modifications
Aetheria reserves the right to modify this Policy at any time. Changes take effect immediately upon posting. Continued use of services following modifications constitutes acceptance of the revised Policy. Clients with active subscriptions at the time of modification will be notified via email.
7. Governing Law
This Policy shall be governed by and construed in accordance with the laws of the State of South Carolina, without regard to conflict-of-law principles.
